Boarding is the process of getting onto the aircraft, and it confuses many first-time flyers. In reality it's a tightly organized stage: the gate closes far earlier than your departure time, and being late can cost you your seat. This guide explains exactly how the boarding process works, step by step.
When boarding starts and ends
Boarding usually begins 30-45 minutes before departure, and the gate closes 15-20 minutes before the flight leaves. That closing time is printed on your boarding pass — that's the time to watch, not the departure time.
Arrive late at the gate and your seat may be given away, even if you've already checked in. Complete online check-in in advance and clear airport security with time to spare.
Boarding groups (zones) — the order you board in
Modern airlines split passengers into groups (zones) and call them to the gate in turn. The typical order is:
- Business class and elite-status passengers (priority)
- Window seats → middle → aisle (on some airlines)
- Boarding group by the number printed on your pass (Zone 1, 2, 3...)
- Last — those without priority boarding and in the rear rows
Your boarding pass and the gate
Your boarding pass is the key document — it shows the gate number, boarding time, seat and group. Gate numbers can change at the last minute, so keep an eye on the airport screens.
A mobile boarding pass (on your phone) is just as valid, but make sure your screen brightness is high enough for the scanner to read the QR code.
How low-cost airlines differ
With Wizz Air and Ryanair, boarding is especially strict. Priority boarding (early boarding plus a large cabin bag) is a paid extra — usually $8-15. Without it you can only bring a small personal bag into the cabin, and a larger carry-on is often checked into the hold at the gate.
On low-cost flights the gate often closes 30-40 minutes before departure and latecomers are refused — arrive at least 2 hours early and review the carry-on luggage rules.
Tips for a smooth boarding
- Run through your pre-flight checklist — documents, ticket, baggage
- Have your boarding pass and passport in hand as you reach the gate
- Confirm the gate number on the screens, not just on your ticket
- Pack your cabin bag so liquids and documents are easy to reach
- Search flights and compare fares on Travel365's price calendar
If your boarding group is late but you need overhead bin space, line up early — overhead lockers fill up fast.
