Booking a Schengen visa appointment — reserving a slot at the visa center — is often the hardest part of the whole process. Your documents may be ready, but without a date you can't submit the application. In peak season slots in Tbilisi fill fast, so strategy matters. This guide explains where and how to book an appointment and how to save weeks.
📅 Where to book — VFS Global, TLScontact or the embassy
Booking a Schengen visa appointment depends on which country you apply to. Many states outsource applications to external visa centers — most commonly VFS Global and TLScontact, and BLS in some places. Their website is where you choose the date and time.
Some embassies accept applications directly, without an external center. The first step is always to determine which country you apply to (your main destination or the country of first entry) and find its official visa channel — never trust paid middleman 'agents'.
🗓️ How to catch a slot when there are none
- Check the site several times a day — new slots often open in the morning at the start of the working day
- Be flexible on dates — traveling a few weeks later often makes an appointment easier
- Check another city's center for the same country, if one exists
- Sign up for notifications if the center offers them
- Start early — the further off your flight, the higher the chance of a free slot
Avoid paid bots and 'guaranteed appointments' — these are often scams and put your personal data at risk. Book only through the official channel.
📄 Documents to prepare before the appointment
- A valid passport — valid for at least 3 months beyond your departure from Schengen, with 2 blank pages
- A completed visa form and recent photos (to biometric standards)
- Flight and hotel bookings (a cancelable reservation is enough at this stage)
- Travel insurance — with at least €30,000 coverage; see the travel insurance guide
- Financial documents: a bank statement and a letter from your employer

⏱️ Timing — how far in advance
Under Schengen rules, you can submit an application at most 6 months before travel and at least 15 calendar days ahead. In practice, book the appointment as early as possible, because the date itself may be free only weeks or months out.
Processing usually takes 15 calendar days, though extra checks can stretch it to 45 days. So in peak season (summer, Christmas) start planning months ahead.
Don't buy a non-refundable ticket before you get the visa — visa first, then the final booking. Use a cancelable reservation up front.
💶 Costs and next steps
The consular fee for an adult is about $100 (€90), on top of the visa center's service fee. The fee is reduced for children. Payment is required at the appointment or online, depending on the country.
After you get the visa, remember the Schengen 90/180-day rule — how long you can stay. New systems also come into force from 2026, so it's useful to read the ETIAS 2026 guide. Once the visa is in hand, use the Travel365 price calendar to find a cheap ticket.
Make copies of every document and store them separately — if an original is lost, a copy speeds the process up. Arrive early for your appointment to avoid the queue.
